Coach Onboarding Guide

Welcome to PlyoPlanner+! This guide will help you set up your coaching practice and start managing athletes.


Getting Started as a Coach

1. Upgrade to PlyoPlanner+

Client management is a Plus feature. If you haven't already:

  1. Sign in to your account
  2. Click Upgrade or go to Subscription
  3. Complete checkout ($9/month)
  4. Access coaching features immediately

2. Access Your Coaching Dashboard

  1. Click Coaching in the main navigation
  2. You'll see your Coaching Dashboard with:
    • Client count summary
    • Recent activity
    • Quick action buttons

Building Your Training Library

Before inviting clients, prepare some training plans:

Create Plans for Different Needs

Plan Type Suggested For
Beginner Foundation New athletes
Intermediate Power Developing athletes
Advanced Performance Elite athletes
Sport-Specific Team/position needs

Tips for Effective Plans

  1. Start Simple: 4-6 exercises per plan
  2. Progressive Overload: Create versions that build in difficulty
  3. Clear Names: Use descriptive names clients understand
  4. Add Notes: Include coaching cues in plan descriptions

Use Templates

Browse the template library for inspiration:
1. Go to Templates
2. Find plans matching your needs
3. Click Use Template to copy and customize


Inviting Your First Client

Step-by-Step

  1. From Coaching Dashboard, click Invite Client
  2. Enter your athlete's email address
  3. Click Send Invitation

What Your Client Receives

Your athlete gets an email containing:
- Your name and invitation
- A secure link to accept
- Instructions for next steps

Client Scenarios

Scenario What Happens
Client has PlyoPlanner account They sign in and accept
Client is new to PlyoPlanner They create an account during acceptance
Client declines You're notified, they're removed

Tracking Invitations

Monitor pending invitations from your Clients page:
- See who hasn't responded
- Resend invitations if needed
- Invitations don't expire automatically


Assigning Training Plans

Once a client accepts:

Assign Their First Plan

  1. Go to Clients and click the athlete's name
  2. Click Assign Plan
  3. Select a training plan
  4. Add coach notes (optional but recommended)
  5. Click Assign

Coach Notes Best Practices

Use notes to provide context:

"Focus on landing mechanics this week. Keep volume moderate - you're still building base fitness."

"Increase intensity from last week. You should feel challenged but not overwhelmed."

Assignment Status Flow

Assigned → In Progress → Completed
  • Assigned: Plan sent, client notified
  • In Progress: Client has started training
  • Completed: Client marked as finished

Managing Your Roster

Client List View

From Clients, you can:
- See all active and pending athletes
- Filter by status
- Quick-access client profiles

Client Profile Page

Each client page shows:
- Connection status and date
- All assigned plans and their status
- Actions to assign new plans

Removing a Client

If you need to end a coaching relationship:
1. Go to the client's profile
2. Click Remove Client
3. Confirm the action

Note: This removes the relationship but doesn't delete the client's account.


Workflow Best Practices

Weekly Routine

  1. Monday: Review client progress from previous week
  2. Mid-week: Check in on assignment status
  3. Friday: Assign next week's plans

Communication Tips

  • Use coach notes for plan-specific guidance
  • PlyoPlanner sends automatic notifications for:
    • New plan assignments
    • Invitation reminders
  • Follow up outside the platform for detailed feedback

Scaling Your Practice

As you grow:
- Create a template library for quick assignments
- Use consistent naming conventions
- Group similar plans by goal/difficulty


Organizing with Clubs & Teams

Once you have multiple athletes, Clubs & Teams helps you organize by sport and season.

Setting Up Your Club

  1. Go to Clubs and click Create Club
  2. Name your organization (e.g., "Eastside Athletics")
  3. You're automatically the club admin

Creating Teams

  1. From your club dashboard, click New Team
  2. Set the sport, gender, and optional season info (e.g., "Spring 2026")
  3. Assign yourself or other coaches to the team
  4. Invite athletes to your team

Bulk Plan Assignment

Instead of assigning plans one-by-one:
1. Go to a team's page
2. Click Assign Plan to Team
3. All athletes on that team receive the plan at once

Season Management

At the end of a season:
1. Copy for New Season to create a fresh team with the same coaches
2. Archive the old season's team to keep it for reference
3. Old teams are hidden by default but accessible via Show Archived

Club Analytics

Monitor your entire organization from one view:
- See which teams are improving and which need attention
- Track metrics across all athletes
- Use period filters (7d / 30d / 90d) to zoom in on recent trends


Troubleshooting

Client Didn't Receive Invitation

  1. Verify the email address is correct
  2. Ask them to check spam/junk folder
  3. Try resending the invitation
  4. If issues persist, contact support

Client Can't Accept Invitation

Common causes:
- Already logged in as different user
- Link has been clicked before
- Browser issues

Solutions:
- Have them sign out first
- Send a fresh invitation
- Try a different browser

Assignment Not Showing for Client

  1. Confirm the plan was assigned (check client profile)
  2. Have client refresh their dashboard
  3. Verify client is logged into correct account

Next Steps

  1. Create 3-5 training plans for common client needs
  2. Invite your first athlete and walk them through acceptance
  3. Assign your first plan and monitor their progress
